Result Excel Instruction

This guide helps in accurate data entry, result analysis, and student performance tracking. Follow step-by-step for optimal use of the Excel Result Sheet.

  1. Enable Macros: When opening the Excel sheet for the first time or if you see "Macro has been Disabled", click "ENABLE CONTENT" and save the file. Example: Without enabling macros, calculations won’t run until you switch sheets or save again.

  2. School Data Sheet: Fill in all required school details. Pre-filled data can be edited. Example: Update school name, principal name, etc.

  3. Student Data Sheet:

    • Enter GR No., seat number (1, 2, 3…), and name.

    • Mark 'Y' in the exam column (1st, 2nd, or 3rd) if the student appeared; otherwise, you can't enter marks.

    • If a student has left, choose "LEFT"; if not present, select "N".

    • Example: A student present only in 1st exam gets 'Y' for 1st and 'N' for the rest.

  4. Village, Caste, Taluka, District: Typing once will store it in the dropdown. Example: If “Dabhi” is written once, select it from dropdown next time.

  5. Dropdown Fields: Use dropdown options only for standard, caste, etc. Do not enter anything manually. Example: Standard 8 must be selected from the dropdown.

  6. Optional Fields: Not all fields are mandatory, like Aadhaar number or English name. Fill only if needed.

  7. Student Info Required: GR No., admission standard/date, caste, gender must be filled to generate date-wise report. Example: Missing gender may cause the report not to work.

  8. Date-wise Entry Sheet:

    • Choose how many months of data you need.

    • Shows admission and dropout count per month.

    • Example: Add columns for June, July to track admissions.

  9. Mark Entry Sheet (FE SLIP):

    • Enter marks for only 7 main subjects.

    • Additional subjects (Computer, Drawing, etc.) go in a different sheet.

    • Example: Math, English go in FE SLIP; Drawing goes in minor subject sheet.

  10. Absent Students:

  • Use 'AB' for absent students or leave cell blank (system auto-fills 'AB').

  • Students marked 'N' or 'LEFT' won’t allow mark entry.

  1. Unit Test Entry:

  • Enter unit test marks taken before 1st exam.

  • Select subjects only from dropdown.

  1. Periodic Test Entry:

  • Use “Periodic-1 MANUAL” for first term periodic tests.

  • “Periodic-2 MANUAL” for second term.

  1. Automatic Marks from Periodic:

  • If no unit test marks, periodic marks will be considered.

  • Use AUTO sheet and select ‘MAX’ or ‘AVERAGE’ in yellow cell.

  • These marks get added to internal marks automatically.

  1. Internal Marks:

  • Only enter classwork, homework, and subject proficiency scores.

  1. Pass/Grace Marks:

  • Automatically calculated as per rules.

  • Grace marks added to help student pass in failing subjects.

  1. Result Summary Sheet:

  • Displays 4 students’ results at a time by seat number.

  • Includes subject-wise marks, grace, internal, total, percentage.

  • Select seat number in yellow cell to view.

  1. Annual Report Card:

  • Print on A4 paper – two students per page.

  • Example: Enter seat number 3 (top), 4 (bottom) for page 1.

  1. Filtered PDF Result (Only Pass Students):

  • Use yellow cells with “RESULT” heading.

  • Choose “Grace Pass” and click “SAVE ALL RESULT AS PDF” to save PDFs in D: drive.

  • You can also choose all types: Pass, Grace Pass, Fail.

  1. Filtered Result Sheet:

  • Get list of passed, failed, and failed subjects.

  1. Subject-wise Fail List:

  • Example: To find students failed in Math, select “RESULT-MATH” and ‘Fail’ below.

  1. Re-Test Sheet:

  • For students who failed, retest is mandatory as per promotion rules.

  1. Retest Data Entry:

  • Enter GR number only. Seat number and subject auto-fill.

  • Marks entry fields become available for failed subjects.

  1. Retest Entry Format:

  • First part shows subjects for retest.

  • Second part shows already passed subjects (for info only).
